Secure ITAD for Regulated Financial Institutions
The financial services vertical operates under strict operational resilience and data security mandates. Financial institutions are highly risk-averse and require complete control over the lifecycle of retired hardware. The primary sector challenge is preventing data leaks on retired server arrays, trading terminals, and corporate devices while maintaining compliance with third-party outsourcing regulations. Surplex UK Limited addresses these complex enterprise requirements by delivering a highly secure, fully documented chain of custody that satisfies both internal risk officers and external auditors.
Procurement Integration & Regulatory Alignment
Value-Offset Model, and Why Most Collections Are Free
For corporate estates and institutions, our open-book Value-Offset Model ensures that regulatory compliance, nationwide logistics, and certified data destruction are fully funded through the residual value of the processed hardware. By leveraging component harvesting and expert value recovery, Surplex UK Limited turns an operational recycling burden into a cost-efficient, self-funding lifecycle mechanism.
Institutional Supplier Vetting & FSQS Registration
To minimize procurement friction and eliminate onboarding delays, Surplex aligns its operational workflows directly with the Financial Services Qualification System (FSQS) and JOSCAR standards. This registration verifies our supplier financial stability and cybersecurity capabilities, giving third-party risk management teams the exact due diligence trails required for corporate governance.
Compliance we can prove, not just promise
Every collection comes with a complete, audit-ready paper trail – certificates of data destruction, serial-level reporting, WEEE evidence notes and ESG data, all available in your portal. Our secure facilities include a BS EN 1143-1 rated strong room, and data is destroyed to NIST 800-88 standards. We’re ISO 14001 certified, ICO registered, an Environment Agency licensed waste carrier, and JOSCAR & FSQS registered.

Strict Risk Mitigation & Sovereign Chain of Custody
ITAD operations in this vertical are governed by the Financial Conduct Authority (FCA) Handbook, specifically SYSC 8 (Outsourcing of Critical or Important Operational Functions) and SYSC 13 (Operational Risk). These rules dictate that a regulated firm cannot contract out its regulatory obligations and must maintain strict oversight, due diligence, and audit rights over its service providers. Surplex addresses these requirements through an airtight, fully traceable process.
Bilateral Liability & Non-Disclosure Agreements (NDAs)
We execute comprehensive, high-penalty NDAs and bilateral liability frameworks prior to conducting any technical survey or hardware collection across your estate.
Vetted Logistics Chain
Collections are handled exclusively by Surplex’s own fleet of GPS-tracked vehicles and security-vetted drivers who are DBS checked and police-vetted to BS 7858 standards. Third-party couriers are entirely eliminated.
Biometric Facility Storage
High-value and data-bearing assets are housed inside our climate-controlled Gloucester On-Site Strong Room, monitored 24/7 by biometric security and CCTV, prior to technical processing.
NIST 800-88 Sanitisation & API Sync
All data-bearing storage media is permanently erased using Certus software to exact NIST 800-88 standards. This generates serial-specific Certificates of Destruction that sync directly to your internal asset management systems (such as ServiceNow or Jira) via the Surplex Portal API.
Zero-Export Guarantee
To support corporate environmental mandates, 100% of components with no recoverable value are recycled within the United Kingdom, ensuring that no hazardous e-waste is exported abroad.

Frequently asked questions
Surplex UK Limited produces a full audit trail for every collection, available at any time in the Surplex Portal.
- WEEE waste transfer notes, the legal proof of compliant disposal
- A certificate of destruction against each device serial number
- Asset inventory reports carrying make, model, serial number and specification
- Scope 3 carbon and landfill-diversion figures for your ESG reporting
Financial services buyers qualify their supply chain through FSQS, the Financial Services Qualification System, and Surplex UK Limited is registered.
Under the FCA’s SYSC rules a firm remains accountable for a function it outsources, so the evidence trail matters as much as the destruction itself. Each collection produces a certificate against every device serial number, a time-stamped chain of custody, and destruction carried out by staff screened to BS 7858.
PCI DSS requires media holding cardholder data to be rendered unrecoverable once it is no longer needed.
Surplex UK Limited shreds hard drives and solid-state media mechanically, the Destroy method defined in NIST 800-88, and issues a certificate against each serial number. Where value is recovered from hardware, data is erased with Certus certified software to the NIST 800-88 Purge standard, which produces a report per device.
Media awaiting destruction is held in a BS EN 1143-1 rated strong room, the standard that classifies secure storage units by their resistance to attack.
Transport is run by vetted drivers on the company’s own fleet rather than by third-party couriers, and the chain of custody is time-stamped from collection through to destruction. On-site shredding is available where media cannot leave your premises at all.
Most customers find their collection is free. Surplex UK Limited works on an open-book value-offset model with no minimum quantity, so the value recovered from your redundant hardware is set against the cost of collection, data destruction and recycling. Both figures are disclosed, which matters where procurement has to evidence value for money. Where the recovered value does not cover the work, a small logistics and processing fee is payable, quoted and agreed upfront.
