Where the recovered value does not cover the work, a small logistics and processing fee is payable, quoted and agreed upfront, so there is no surprise to explain to governors.

Evidence a data protection officer can file
Every device is recorded against its serial number and a certificate of destruction is issued for each one. That is the document a data protection officer, an auditor or an ICO enquiry actually asks for, and it is available in your portal rather than posted on request.

The standards that actually apply to an education estate
There is no Department for Education standard covering IT disposal. The DfE digital and technology standards for schools and colleges cover broadband, wireless networks, network switching, digital leadership and governance, filtering and monitoring, and cyber security, with further standards for devices, servers and cabling. None of them addresses what happens to a device at the end of its life.
The duty comes from UK GDPR and your own data protection policy instead. You remain the data controller for pupil and student records after the hardware leaves your site, which is why the disposal has to be evidenced rather than simply arranged. Schools and colleges also work under Keeping Children Safe in Education, the statutory guidance setting out the safeguarding duties they must comply with.
Certified data destruction to recognised standards
Hard drives and solid-state media are shredded mechanically, the Destroy method defined by NIST 800-88, and destruction is carried out to BS EN 15713:2023, the British and European code of practice for secure destruction. Where value is recovered from hardware, data is erased with Certus certified software to the same standard’s Purge method.
