Clearing an IT Estate Under a Liquidation or Administration Deadline
A formal insolvency rarely comes with a convenient deadline. A lease is ending, a landlord wants the site back, or a buyer needs vacant possession, and the IT estate still has to be cleared, the data on it accounted for, and the value recovered for the creditors it is owed to. Surplex UK Limited collects across England, Wales and Scotland within the week, works with either the appointed insolvency practitioner or the original company’s staff, and there is no minimum quantity, so a single-office liquidation is handled on the same terms as a multi-site administration.
What this means for an insolvency practitioner
Most collections are free
Surplex UK Limited works on an open-book value-offset model with no minimum quantity. The value recovered from retired equipment is set against the cost of collection, data destruction and recycling, and you are shown both figures. Most customers find their collection is free on that arithmetic. Where the recovered value does not cover the work, a small logistics and processing fee is payable, quoted and agreed upfront.
We take instruction from whoever is arranging the clearance
Surplex UK Limited works directly with the appointed insolvency practitioner, or with the original company's own staff where that is who is arranging it. There is no minimum quantity, so a single-office liquidation and a multi-site administration are booked on the same terms.
Sites cleared within the week
Collections happen within the week, with vans working across Great Britain and next day possible for a quick turnaround. That matters when a lease end or a landlord's re-entry date will not move.
On larger estates, recovered value can return to the estate
A standard collection runs on the open-book value-offset model above: cost is offset, and most collections end up free. Where an estate holds a larger volume of higher-value equipment, a different financial structure, a revenue share or a fixed buy-back, can return value to the estate rather than simply offsetting the cost. See the enterprise model for how that works.
Compliance we can prove, not just promise
Every collection comes with a complete, audit-ready paper trail – certificates of data destruction, serial-level reporting, WEEE evidence notes and ESG data, all available in your portal. Our secure facilities include a BS EN 1143-1 rated strong room, and data is destroyed to NIST 800-88 standards. We’re ISO 14001 certified, ICO registered, an Environment Agency licensed waste carrier, and JOSCAR & FSQS registered.

What an appointed insolvency practitioner can evidence
The duty to protect personal data does not lapse because a company has entered liquidation, administration or receivership. UK GDPR obligations continue, and as the appointed practitioner you are managing the company's affairs, including what happens to the data on its hardware. Evidencing the disposal protects you and the estate from a data protection complaint surfacing after the case has closed.
Certified destruction to recognised standards
Hard drives and solid-state media are shredded mechanically, the Destroy method defined by NIST 800-88, and destruction is carried out to BS EN 15713:2023. Where value is recovered from hardware, data is erased with Certus certified software to the same standard’s Purge method. The difference between the standards is explained here.
Registered with the Information Commissioner’s Office
Registration number Z9955515, held since 2007. The estate remains the data controller, and a registered processor is the minimum any audit or creditor enquiry will expect to see documented.
BS 7858 vetted staff, no subcontractors
Collection and technical staff are screened to BS 7858, the British standard for vetting people working in secure environments, and nothing is passed to a third party. That matters attending a site under instruction from a practitioner rather than the business that normally occupies it.
Environment Agency licensed, zero to landfill
Licensed waste carrier including hazardous waste, certified to ISO 14001:2015, and operating a T11 exemption at our Gloucester processing centre under reference EXP/HP3641YX. Every collection produces WEEE evidence notes.
Working with estates of every size
Surplex UK Limited works with sole-trader and single-office insolvencies through to multi-site administrations. There is no minimum quantity and no estate too small to book.

Frequently asked questions
Either. Surplex UK Limited takes instruction from the appointed insolvency practitioner, or from the original company’s own staff where that is who is arranging the clearance. There is no minimum quantity, so a single-office liquidation and a multi-site administration are booked on the same terms.
No. A single office retiring a few desktops is booked the same way as a multi-site estate, on the same open-book value-offset terms.

Hard drives and solid-state media are either erased with Certus certified software, the Purge method defined by NIST 800-88, where value is being recovered from the hardware, or shredded mechanically to the same standard’s Destroy method. Either way the erasure or destruction is certified against the device’s serial number.
Yes, as standard on every collection. Each device is recorded against its serial number and issued a certificate of destruction, which is the evidence a creditor, an auditor or an ICO enquiry asks to see.
On a standard collection, recovered value is offset against the cost of collection, destruction and recycling, which is why most collections end up free rather than generating a payment. Where an estate holds a larger volume of higher-value equipment, a different financial structure, a revenue share or a fixed buy-back, can return value to the estate instead. See the enterprise model for how that works.
